We know that plans can change unexpectedly – whether you need to adjust your dates, update guest details or cancel your booking. Find answers to frequently asked questions about modifying your reservation, our cancellation and refund policies as well as how to submit a complaint.
It is possible to amend your booking as long as the services in question can be changed or cancelled. This will depend on the terms and conditions of each service provider, and it may not be possible to change certain services free of charge after a certain date once they have been confirmed. In this case, changes can be requested (subject to availability) but will incur additional costs (in addition to an amendment fee).
All amendments or change requests must be made in writing by email to info@authentic-scandinavia.com by the person who submitted the original booking request. We will do our best to make the changes, but it may not always be possible. All change requests are subject to availability.
Changes to confirmed bookings will incur an amendment fee of EUR 30 for each amended service. This does not apply to extra nights added before the start or after the end of the tour.

Depending on the terms and conditions set by each service provider, it may not be possible to cancel certain services free of charge after a certain date once they have been confirmed.
If cancellation is possible, there will be an amendment fee of EUR 30 for the removal of each confirmed add-on from your booking.
Travel arrangements cancelled or amended once travel has commenced cannot be refunded. Unused services are non-refundable.
Please make sure to double check the travel date in the automated email you receive from us after submitting a booking request to ensure that you have entered the correct travel date. If you discover any discrepancies, please reach out to us immediately by email to info@authentic-scandinavia.com to avoid any amendment fees.

For most rail tours, a change of travel date less than 45 days before travel is considered a cancellation and new booking (see cancellation terms below). Other tours are subject to stricter terms and conditions; please find further details for those suppliers listed below.

If your cancellation is due to illness, you must reach out to your travel insurance provider for a reimbursement (normally a doctor’s note must be presented with the insurance claim).

If you have issues with one of the services, please contact the relevant service provider immediately. The hotel reception, transport personnel, etc. will do their very best to help you directly on site, and this is usually the fastest and easiest solution.

If it is not possible to fix the problem on the spot, you must send us a written complaint as soon as you return home, preferably no later than 4 weeks after your return.
