Booking, availability & payment

The following information will help you to navigate our online booking system. We explain in detail the tour request and confirmation process, availability factors as well as payment options.

 

Frequently asked questions

At the top of each tour page you will find a dark blue banner just below the intro where you can select your date to start the booking process. 

The online booking process consists of 4 easy steps:

  • Booking details: select the number of travellers, room type(s) and tour category (Silver, Gold or Platinum).

  • Extras: add extra nights and experiences (optional). These can also be added later. (Note: an amendment fee will be charged for extra nights added to the middle of the itinerary after the tour has been confirmed.)

  • Travellers: enter the name, date of birth and nationality of each traveller and the main traveller’s contact details.

  • Payment: you must agree to our booking terms and conditions before submitting your payment (the amount will only be reserved on your credit card).

All reservations are on request and subject to availability; you will not receive an immediate confirmation.

When you submit a booking request through our website, we begin the process of checking availability with the individual service providers for the selected travel dates. We strive to confirm booking requests within 2 business days during our office hours: Monday-Friday, 09:00-17:00 (CET).

Once the booking is confirmed, you will receive a tour confirmation that includes an overview of the booked services.

The pre-authorised amount that was reserved during the booking process will be charged to your credit card.

If only a deposit was required at the time of booking, you will receive a reminder for the final payment 5 days before the balance is due. You must log in to your My Booking page to complete the payment; it will not be charged automatically (for security reasons we do not keep any credit card information on file).

The travel documents will be sent to you by e-mail after we have received your final payment. The documents will be sent approximately one month before your travel date (or as soon as possible for last-minute bookings).

Please note that due to the multiple services involved across our wide selection of customisable itineraries, our offerings are only available on request and subject to availability.

We have a number of pre-booked rooms at hotels across the Nordics and Baltics throughout the year, making it easier for us to secure availability. If no pre-booked rooms are available, we will find alternatives of an equal standard. Early booking is recommended to secure rooms at our contracted rates.

For some popular and/or smaller destinations – such as Flåm, Tromsø and Rovaniemi – alternatives are limited and prices may increase considerably during high-demand travel dates, resulting in additional costs. Please note that popular travel periods – such as June-August, December and February – tend to sell out earlier than other periods.

In rare cases, transportation may be completely sold out on certain dates, requiring an adaptation of the itinerary. In this case, we will get in touch with you to discuss alternative options.

The sales period for next season/year might not be open yet, or the tour might not be running on certain dates for various reasons. Regardless, we recommend getting in touch with one of our travel specialists for further details.

We always do our very best to confirm even last-minute requests. However, since all requests are subject to availability, bookings made on short notice may require amendments and/or additional costs if certain services are sold out or our contracted rates are no longer available. Early booking is therefore strongly recommended, as availability cannot be guaranteed.

The latest you can submit a booking request on our website is one day before arrival (Monday to Friday, during our office hours).

At the end of the online booking process, you will be asked to enter your credit card details. Please note that the amount will be reserved on your credit card and only charged once we have confirmed the tour.

Note: If we are unable to confirm your booking request due to lack of availability and you do not agree to the alternatives offered, we will release the reserved amount.

The payment amount due depends on the selected tour and how far in advance you submit your booking request.

For most tour packages, a 10% deposit is required (or a minimum of EUR 100 per person) when submitting a request more than 65 days before travel. Full payment is required for requests submitted 65 days or less before travel.

Certain service providers – particularly cruise operators and Finnish winter accommodation – have stricter payment conditions; as a result, payment conditions for tours that include these services may differ from those listed above.

For most tours, the final payment is due 65 days before travel.

Tour prices are guaranteed in EUR only. Prices displayed in other currencies on our website are solely for your own reference and subject to exchange rate fluctuations. Exchange rates on our website are updated once per day.

Our payment provider Flywire lets you pay in your local currency (exchange rates are updated continuously). All conversion fees are included in the non-EUR amount shown.

Any refunds will be made in EUR.  

We accept all major credit cards, including VISA, MasterCard and AmEx. The deposit must be paid by credit card.

For the final payment, you can also make an international bank transfer directly to our bank account or a domestic bank transfer via our payment provider Flywire. It is also possible for customers within the EU to make a SEPA payment directly to our bank account.

Our payment provider Flywire offers further local payment options, depending on your country. These will appear when you access the Flywire payment gateway at the end of the booking process.

It is not possible to split up the deposit payment, but you can split the final payment into two or more instalments as long as the final instalment is made before the final payment due date.
